How agencies and solution partners standardise backup across client HubSpot, monday.com and ClickUp accounts

How implementation partners add a repeatable backup standard to every client HubSpot, monday.com or ClickUp build: the multi-client model, a five-point kickoff clause, a pre-handover test restore, procurement answers and the referral mechanics.

In short: When a client loses data in the HubSpot, monday.com or ClickUp instance you built, you get the call. ProBackup makes backup a standard line in every implementation: each client holds its own account and pays for it, you are invited in with View, Export or Restore rights using a separate login per client, setup takes about three minutes per app, and referrals pay 30% recurring.

The moment a client loses data

Every implementation partner has had the message. A board was deleted by a departing admin. A workflow overwrote a property on a few thousand contacts. A ClickUp Space vanished and the trash window has passed. The client does not open a ticket with the platform vendor; they message the consultancy that built the system, because you are the one who understands it.

At that point you are asked to do one of three things: recover the data, explain why it cannot be recovered, or rebuild it by hand at your hourly rate and their expense. Native version history helps with a single record. It rarely helps with a whole board, a bulk property change or anything older than the trash window. As our solution partners page puts it: "When data goes missing, you're the first call - and native version history rarely has the answer."

The partners who handle this well are not the ones with the best recovery skills. They are the ones who put an independent backup in the scope before handover, so the answer to the call is "which snapshot do you want?" rather than "let me see what I can do".

The multi-client model: separate accounts, one login per client

The obvious worry for an agency is data governance. You do not want twenty clients' CRM data co-mingled in one backup account under your name, and neither do their procurement teams. ProBackup's model is built around that constraint:

  • One ProBackup account per client. Each client has its own admin, its own billing and its own data. Client data is never co-mingled.
  • The partner is invited as a user, with one login per client. The client's admin invites you into their account with View, Export or Restore permission. A client that wants you to be able to roll back a bad automation gives you Restore; a client that only wants a second pair of eyes gives you View. An invited login belongs to exactly one client account, so use a separate email address or alias for each client (for example acme@youragency.com) and switch logins between clients.
  • Keep those logins clean. A login with a paid subscription of its own can't be invited, and inviting a login that has trial backups cancels those trial backups. Run your own trial and demos on a different login from the ones your clients invite.
  • Check the client's plan. Plus allows 1 invited user, Pro 10 and Premium unlimited. A Plus client who has already invited a colleague needs Pro before you can be added.
  • Clients sign up and pay for their own account. You do not handle their billing or their platform credentials. Most apps are billed by ProBackup; monday.com, Jira and Confluence clients subscribe through that platform's marketplace and pay per seat there. If the engagement ends, the client removes your access and keeps the backup.
  • One tool for every stack. ProBackup covers 22 apps from a single client account, including HubSpot, monday.com, ClickUp, Asana, Airtable, Jira, Confluence, Notion and Smartsheet. A client running HubSpot for sales and monday.com for delivery backs up both in one place, and you recommend the same tool on the next engagement regardless of stack.

The practical effect for the partner is a standard operating model: the same onboarding steps, the same restore flow and the same security answers on every client, without becoming a data controller for any of them.

What to put in the client kickoff: a five-point backup clause

Most partners already have a scope template. Add one section to it. Five points cover it:

  1. Scope of backup. Which platforms and which workspaces, boards, pipelines or Spaces are in scope. Everything the connected user can see is backed up; the client chooses which workspaces to include at setup.
  2. Ownership. The client owns the ProBackup account and the subscription. The partner is an invited user, on a login dedicated to this client, with a named permission level (View, Export or Restore).
  3. Who restores, and when. Name the person on each side who can approve a restore, and the default restore mode (create new records unless overwrite is explicitly requested). This avoids a Friday-evening debate about authority while a board is missing.
  4. Test restore before handover. A dated test restore is a deliverable of the implementation, not an optional extra (see the next section).
  5. Review cadence. Who reads the weekly report, and a quarterly check that new boards, pipelines or Spaces added since go-live are inside the backup scope.

Written as a clause, it fits in half a page and turns an awkward post-incident conversation into a documented process the client agreed to on day one.

Run a test restore before handover

A backup that has never been restored is an assumption. Before you hand a HubSpot, monday.com or ClickUp build over to the client, run the restore once with them watching:

  1. Confirm the first snapshot has completed for every connected app.
  2. Pick a low-stakes record, such as a test contact, a sample item or an archived task, and restore it as a new record from yesterday's snapshot.
  3. For a data type with overwrite support (Airtable records, Asana tasks, Attio records, ClickUp tasks, HubSpot contacts and deals, Linear issues, monday.com items), change one field on a test record, then overwrite that single field from the snapshot. Note that calculated fields (system fields, formulas, relations) are excluded because the platform computes them.
  4. Record the date, the record and the result in the handover document.

Ten minutes, and the client has seen with their own eyes that the recovery path works before anyone needs it. The full method is in how to test SaaS backups.

One partner quoted on the solutions page describes exactly this habit: "We've tested finding the files and attempting the restores and everything worked seamless for us." (Larry Dukhovny, Owner at MyBizGeek, solutions page, checked 2026-09-16.)

Procurement questions, and where the answers live

Enterprise clients will run any recommended tool past procurement or security. The questions are predictable, and the answers exist so you do not have to write them yourself:

Procurement questionAnswerWhere to point them
Independent audit?SOC 2 Type II audited; the current report covers 1 April – 30 June 2026 (Security, Availability and Confidentiality)Request the report via the trust centre
GDPR?GDPR compliant; ProBackup acts as data processor for the client's account dataGDPR page
Encryption?AES-256 at rest, TLS in transitdata security
Where is the data stored?AWS S3, in the AWS region the client selects at signup (nine regions); one region per accountdata security
Single sign-on and audit evidence?SSO and audit reports on Premiumpricing
ISO 27001?Not held; SOC 2 Type II is the audit framework ProBackup usestrust centre

Send the trust centre link with the proposal and most security questionnaires shorten considerably. For clients with stricter requirements, recommend Premium so SSO and audit reports are available from day one.

The referral mechanics

Recommending ProBackup does not require joining anything. Many partners simply add it to scope because it solves a recurring problem. If you do want to be paid for it, the referral programme pays a 30% recurring commission on every paying customer you refer, for the lifetime of that subscription.

How it works in a partner context:

  • Trial on a sandbox login first. Start a free trial on a login you will never use for client access, connect a sandbox HubSpot or ClickUp workspace, and run the test restore yourself. You then demo from experience rather than from a slide.
  • Recommend at discovery or kickoff. Backup is easiest to add before go-live, while scope is being agreed.
  • The client signs up through your referral link and pays for its own subscription. You never touch their invoice.
  • Commission continues as long as the client's subscription does. A client that stays for years keeps paying out; there is no cap or cut-off written into the programme.

Because clients pay for and hold their own account, the referral relationship never conflicts with the data-governance model above.

Partners already doing this

The solutions page lists consultancies across the HubSpot, monday.com, ClickUp, Asana and Airtable ecosystems that recommend ProBackup. Three examples, described in their own words on that page (checked 2026-09-16):

  • CarbonWeb (monday.com): "CarbonWeb has built monday.com systems since the platform's early stages in 2018" and is "among the first Advanced Delivery Partners".
  • Neworkflow (ClickUp): "Need help with your ClickUp setup? Let's talk how we can help you to optimize and automate your business operations with ClickUp."
  • Markentive (CRM and marketing automation): "both a consulting firm, a digital agency and an integrator" with "over 40 experts in marketing automation, growth, revops, CRM and webdesign".

Frequently asked questions

How does a consultancy manage backups for many clients without mixing their data?

Each client keeps its own ProBackup account with its own admin, billing and data. The client invites the partner with View, Export or Restore permission. Because an invited login belongs to exactly one client account, the partner uses a separate login (an email address or alias) per client. Client data is never co-mingled.

Does the partner have to handle the client's billing or credentials?

No. Clients sign up themselves and connect their platforms via OAuth. The partner's access is an invitation the client controls and can remove.

How long does it take to add ProBackup to an implementation?

About three minutes per app: the client connects the platform via OAuth, chooses which workspaces to include and confirms. Daily backups run automatically with no scheduling or maintenance from the partner.

What does a partner earn for recommending ProBackup?

Through the referral programme, 30% recurring commission on every paying customer referred, for the lifetime of the subscription. Joining is optional.
