How to back up Notion (and restore deleted data)

In short: Notion keeps deleted pages in Trash for 30 days, then permanently deletes them. Page history covers 7 days on Free, 30 on Plus, 90 on Business and is unlimited only on Enterprise. ProBackup snapshots your Notion pages, databases, comments and files every 24 hours and restores deleted pages back into your workspace under a ProBackupRestore page.

Why Notion's Trash and page history are not a backup

Notion is where many teams keep their wiki, their CRM and their project tracker in one place. That concentration makes deletion expensive.

Notion's own help centre (checked 2026-09-16) describes the safety net:

  • Trash: "By default, pages will remain in Trash for 30 days before they are permanently deleted from Trash." After that they "are retained for 30 days before they become inaccessible to all users, even workspace owners", but that second period is not something you can restore from yourself.
  • Page history (Notion pricing page): 7 days on Free, 30 days on Plus, 90 days on Business, unlimited on Enterprise.
  • Retention control: only Enterprise workspace owners can customise how long pages stay in Trash.

Page history helps when someone overwrote a paragraph last week. It does not help when a database was deleted, when a bulk edit changed a property across 2,000 records, or when the change happened four months ago on a Business plan.

Notion's manual export (HTML, Markdown and CSV) is a one-off file dump. It is not versioned, not automated, and cannot be restored back into Notion with relations and comments intact.

How to back up Notion with ProBackup

ProBackup is a SaaS backup service that takes automated daily snapshots of your cloud app data and lets you restore individual records, files or whole projects back to the original account.

Setting it up for Notion:

  1. Start a trial. Go to app.probackup.io/onboarding, choose Notion and create your account. The 7-day trial needs no credit card.
  2. Connect via OAuth. Click Connect Notion and log in. Notion asks which pages to share with ProBackup; choose Select pages or grant access to the whole workspace. ProBackup never stores your Notion password.
  3. Choose the scope. Only pages and databases shared with the ProBackup integration are backed up. Sharing a top-level page includes its sub-pages. You can add pages later from Notion's Connections menu.
  4. Wait for the first snapshot. The first snapshot is taken within 24 hours; large workspaces take longer because Notion's API is paginated and rate-limited. You receive an email when it completes. After that, a new snapshot every 24 hours, with no scheduling required.

Snapshots are stored on AWS S3, encrypted with AES-256 at rest and TLS in transit, in one of nine AWS regions you select at signup. ProBackup is SOC 2 Type II certified (May 2025) and GDPR compliant.

What is and is not backed up

ProBackup backs up what the Notion API exposes for the pages you share:

  • Pages and sub-pages, block by block
  • Databases and their records
  • Database columns (properties) and their values
  • Comments
  • Files and images referenced from pages

Limits to be aware of:

  • Access-dependent. A page not shared with the ProBackup integration is not in the backup. Private pages need to be shared by their owner.
  • Block rendering. Some Notion blocks are not human-readable as a table, so ProBackup shows a page preview instead; the underlying JSON is still stored.
  • Not exposed by the API: workspace settings, permissions, integrations and automations are outside the backup scope [verify].

ProBackup captures the first 2,000 characters of a text field. Snapshots are retained for 6 months on Plus, 2 years on Pro and without limit on Premium.

How to restore deleted Notion pages

ProBackup supports two restore modes across its platforms: create new duplicates (originals left untouched) or overwrite existing records field by field. For Notion, the help centre documents the duplicate mode [verify: overwrite mode availability for Notion]:

  1. Open the Notion backup in ProBackup and pick the snapshot date before the deletion.
  2. Select the page (or pages) and click Restore.
  3. In Notion, search for ProBackupRestore. Every restored page is added as a sub-page under that page, so nothing in your live workspace is overwritten. Move it back to its original location when you are happy with it.
  4. Comments are restored directly to their related page.

Because of Notion API constraints, three block types cannot be written back by ProBackup: databases, images and files. Their content is in the backup and can be viewed and exported, but a deleted database has to be recreated from the exported records rather than restored in one click [verify current state].

Restores go back to the original Notion workspace only. ProBackup is a backup tool, not a migration tool.

Frequently asked questions

How often is Notion backed up?

Every 24 hours, automatically. Each snapshot is a full copy of the shared pages and databases, so you can open any day in your history, compare two versions of a page and restore from the one you want.

Where is my Notion backup stored?

On AWS S3, in the AWS region you select at signup (nine regions are available). Changing region after the first backup requires support assistance. Data is encrypted with AES-256 at rest and TLS in transit. On Pro and Premium plans you can also sync a copy to your own Google Drive.

Why does ProBackup restore to a ProBackupRestore page instead of the original location?

Because it never overwrites live content. A restored page appears as a duplicate under ProBackupRestore so you can review it, then drag it to its original parent. Your current pages are untouched throughout.
