How to back up Pipedrive (and restore deleted data)

In short: Pipedrive's Restore data page brings back deleted deals, leads, people, organisations, activities and products for 30 days; after that they are gone, and the Changelog shows edits but cannot undo them. Why Pipedrive's own protection is not a backup

Pipedrive backs up its own servers so the service survives hardware failure. That is not the same as protecting your data from the things that actually remove it: a bulk delete on a filtered list view, a spreadsheet import that overwrites thousands of deal values, an integration syncing in the wrong direction, or a departing rep clearing out their pipeline. Under the standard SaaS shared-responsibility model, Pipedrive keeps the platform running; what happens inside your account is yours to protect.

Here is what Pipedrive gives you natively (checked 2026-09-16):

  • Restore data page. Deleted leads, deals, people, organisations, activities and products can be restored for 30 days. After 30 days, "the items are permanently deleted and can't be accessed or restored". Linked items are deleted with their parent and come back with it. Source: Pipedrive, How can I restore data?
  • Changelog. The detail view of any item lists every change since it was created. It is a log, not an undo button: it cannot put yesterday's value back into a field. Source: Pipedrive, Detail view
  • Exports. Leads, deals, people, organisations, products, activities, notes and files can be exported as Excel or CSV. Activities, notes and files "must be exported separately" from the deals they belong to, files stored in Google Drive are not exported, and the export files are only available for 28 days. How to back up Pipedrive with ProBackup

ProBackup is a SaaS backup service that takes automated daily snapshots of your cloud app data and lets you restore individual records, files or whole projects back to the original account.   4. Let the first snapshot run. It starts automatically and completes within 24 hours. From then on, ProBackup takes a new snapshot every 24 hours; there is no scheduling to configure.
  5. Optional extras. Smart Alerts (Pro and Premium plans) notify you when a snapshot contains an unusual number of deletions. Google Drive sync (Pro and Premium plans) writes a spreadsheet copy of each data type; if a data type has more than 50,000 records no Sheet is created, but the AWS backup remains active.

Every snapshot is stored with AES-256 encryption at rest and TLS in transit. ProBackup is SOC 2 Type II certified (since May 2025) and GDPR compliant.

What is (and is not) backed up

ProBackup backs up all Pipedrive data available through the Pipedrive API. Today that covers:

Not backed up: anything outside the list above. In practice that means activities, emails synced through Pipedrive's mail integration, Insights reports and dashboards, automations, Campaigns and Projects. [verify: applies to Pipedrive] When a limit is caused by the Pipedrive API rather than by ProBackup, we say so; scope is extended as the API allows.

How to restore deleted Pipedrive deals, contacts and notes

  1. Open your Pipedrive backup in ProBackup and pick the data type (for example, Deals).
  2. Choose the snapshot date. If you know when the record still existed, pick the last snapshot before the deletion. Global Search finds a record across all snapshots (unlimited on Pro and Premium; 3 free uses per month on Plus).
  3. Select one record, or a filtered set of hundreds, and click Restore.
  4. ProBackup writes the record back to your Pipedrive account through the API. "When you restore a deal, a duplicate is created in your Pipedrive account." The same applies to contacts, organisations, leads, products and notes.

Two things to know before you click:

  • Restore mode. ProBackup offers two restore modes across its platforms: create new duplicate records, or overwrite existing records field by field. For Pipedrive, restore currently creates duplicates, which is the safe option: nothing that still exists in Pipedrive is touched. [verify: overwrite mode not available for Pipedrive]
  • IDs. A restored record receives a new Pipedrive ID. If the deletion happened less than 30 days ago, Pipedrive's Restore data page keeps the original ID and is the better first step. ProBackup is for everything that page cannot do: deletions older than 30 days, records you want to compare against an earlier date, and bulk restores of specific records.

Restores go back to the original Pipedrive account only. ProBackup is not a migration tool.

Frequently asked questions

How long does Pipedrive keep deleted deals?

30 days. Deleted deals, leads, people, organisations, activities and products appear on the Restore data page for 30 days after deletion; after that Pipedrive deletes them permanently and they cannot be restored. Overwritten field values are never recoverable natively; the Changelog only records that they changed.

Does ProBackup back up Pipedrive emails and activities?
